1. Scope of this Policy

This Privacy Policy explains how Les Studios 512 Lux (“512 Lux”, “we”, “us” or “our”) collects, uses, discloses, stores and protects personal information when individuals interact with our websites, forms, services and digital experiences.

This Policy applies to 512lux.ca and 512lux.cc, including the Event Experience platform and related 512 Lux web forms and digital experiences. Some sections apply to both websites, while Sections 6 and 7 describe practices specific to each site.

This Policy applies to personal information collected through technological means, direct communications and service relationships. It does not replace any additional notice that may be provided for a specific service, event, contract or transaction.

2. Accountability and Privacy Responsibility

3. Personal Information We May Collect

Depending on how you interact with 512 Lux, we may collect the following categories of personal information:

Identity and contact information, such as your name and email address.
Organization or business information that you choose to provide, such as company name, role or other professional details.
Information contained in inquiries, forms, correspondence, project discussions or other communications with 512 Lux.
Communication preferences and records of consent, subscription, unsubscribe or other preferences.
Client and service information reasonably required to deliver contracted services, manage a business relationship or support a project.
Technical and usage information that may be generated when you use our websites or digital services, such as IP address, browser or device information, timestamps, referring pages, security logs and usage information, where collected by active technologies or service providers.
Event Experience information submitted through forms or platform functionality that is active at the time of collection.

512 Lux seeks to limit the collection of personal information to information that is reasonably necessary for identified business, service, security, legal or communication purposes.

4. How We Collect Personal Information

We may collect personal information:

Directly from you when you complete a HubSpot form, contact 512 Lux, request information, subscribe to updates, become a client, participate in an event-related experience or otherwise provide information to us.
Through direct business communications, project delivery, client service and support interactions.
Automatically through website infrastructure, security logs, cookies or similar technologies when those technologies are enabled.
Through third-party service providers that support hosting, forms, analytics, communications, security, database services or other operational functions.

Where consent is required, 512 Lux seeks to obtain consent in a manner appropriate to the sensitivity of the information, the purpose of collection and the reasonable expectations of the individual.

5. Why We Use Personal Information

512 Lux may use personal information for the following purposes:

Responding to inquiries and requests.
Providing, administering and improving 512 Lux services.
Managing client, prospect and business relationships.
Operating, securing, maintaining and improving our websites and digital services.
Administering Event Experience, including current teaser sign-ups and future platform functions when those functions are introduced.
Sending requested updates, service communications and marketing communications where consent or another lawful basis applies.
Measuring website, content, campaign or service performance where appropriate tools are active.
Detecting, preventing and responding to fraud, abuse, security incidents or technical issues.
Meeting legal, regulatory, contractual, accounting, tax, dispute-resolution or compliance obligations.
Establishing, exercising or defending legal rights where necessary.

If 512 Lux intends to use personal information for a materially new purpose that is not reasonably compatible with the original purpose, we will obtain any additional consent or provide any additional notice required by applicable law.

6. Practices Specific to 512lux.ca

512lux.ca is the primary corporate and service website of Les Studios 512 Lux.

Through 512lux.ca, 512 Lux may collect personal information in connection with:

Contact, inquiry and business-development forms.
Requests for information about 512 Lux services.
Client, prospect and partnership communications.
HubSpot forms and related CRM activity.
Website performance, security and analytics technologies that are active at the time of use.

Information collected through 512lux.ca may be used to respond to inquiries, evaluate prospective business relationships, provide services, manage client communications, improve the website and support other purposes described in this Policy.

7. Practices Specific to 512lux.cc and Event Experience

512lux.cc is used for Event Experience and related 512 Lux event-focused digital experiences.

Current and future functionality may include:

Event Experience teaser and launch-interest forms.
Event-related public pages and content.
Event registrations, event interactions or account functionality if and when those features are introduced.
Operational and security logging associated with Event Experience.
Application data stored in the Event Experience database where applicable.

At the current teaser stage, HubSpot is used to process Event Experience interest forms and communication consent. The Event Experience application database uses Neon where database storage is required.

512 Lux will not treat future Event Experience functionality as active until that functionality is actually deployed. If new platform functions materially change the categories of personal information collected or the purposes for which information is used, this Policy will be updated as appropriate.

8. Service Providers and Third Parties

512 Lux uses third-party service providers to support its websites, communications and operations. Depending on which services are active, these providers may process personal information on behalf of 512 Lux or receive limited information necessary to provide their services.

Known or contemplated providers include:

Cloudflare, for website hosting, delivery, security and related infrastructure.
HubSpot, for forms, contact management, communication preferences and related CRM or marketing functions.
Neon, for database infrastructure used by Event Experience.
Google, where Google services are used for analytics, security, productivity or related functions.
Meta, including Facebook and Instagram, where their services are used for social, measurement or related functions.
X, where its services are used for social, measurement or related functions.
Other technology, communications, security, analytics or operational service providers that 512 Lux may use from time to time.

512 Lux does not sell personal information to advertisers.

No advertising pixels are currently deployed on 512 Lux websites. If 512 Lux materially changes its advertising or tracking practices, the relevant disclosures and consent mechanisms will be reviewed and updated.

9. Processing and Storage Locations

512 Lux seeks to keep its core business information and systems in Canada, including Québec, where reasonably practicable.

Some third-party service providers may process, transmit, store or access personal information outside Québec or outside Canada depending on their infrastructure, subprocessors or service configuration. When personal information may be communicated outside Québec, 512 Lux will assess the circumstances and take measures required by applicable law before proceeding.

Information processed outside Québec or Canada may be subject to the laws of the jurisdiction in which it is processed or accessed.

10. Cookies, Analytics and Similar Technologies

512 Lux websites may use cookies, local storage, technical logs or similar technologies that are necessary for site functionality, security, form operation, performance or user preferences.

Analytics or measurement technologies may be used where enabled. Third-party providers such as Google, Meta, X or other service providers may receive technical or usage information when their services are actively integrated.

512 Lux currently does not deploy advertising pixels. If non-essential tracking technologies are introduced, 512 Lux will review whether additional notices, consent controls or policy updates are required.

Users may also be able to manage certain cookies or tracking technologies through their browser or device settings, subject to the effect those settings may have on website functionality.

11. Marketing Communications and Consent

512 Lux may send commercial electronic messages, including Event Experience updates, where the recipient has provided consent or where another lawful basis applies.

Where express consent is collected through a website form, 512 Lux may retain records of the consent, including information reasonably necessary to demonstrate when and how consent was obtained.

Marketing communications sent by 512 Lux will include the identification and unsubscribe information required by applicable law. Individuals may unsubscribe at any time using the mechanism provided in the communication or by contacting [email protected].

Withdrawal of marketing consent does not necessarily require deletion of all records. 512 Lux may retain information reasonably necessary to honour the unsubscribe request, demonstrate compliance, protect legal rights or satisfy other lawful obligations.

12. Retention and Disposal

512 Lux retains personal information only for as long as reasonably necessary to fulfil the purposes for which it was collected, subject to applicable legal, accounting, contractual, tax, dispute-resolution or compliance requirements.

Our current operational retention standards are:

Leads and prospective clients: up to 12 months after the last meaningful interaction, unless the individual becomes a client, a longer period is required by law, or an ongoing consent or relationship remains relevant.
Clients: up to 3 years after the end of the client relationship, unless a longer period is required for legal, accounting, tax, contractual, dispute-resolution or compliance purposes.
Consent and unsubscribe records: retained for as long as reasonably necessary to demonstrate consent, honour communication preferences and support compliance obligations.

When personal information is no longer required, 512 Lux will take reasonable steps to delete, destroy or anonymize it, subject to technical, legal and operational constraints.

13. Safeguards

512 Lux uses reasonable administrative, technical and organizational safeguards appropriate to the sensitivity and context of the personal information under its control.

Safeguards may include access controls, account security, authentication measures, secure service providers, encrypted connections, system monitoring, backup practices, internal access restrictions and incident-response procedures, as appropriate.

No method of electronic transmission or storage can be guaranteed to be completely secure. 512 Lux therefore cannot guarantee absolute security, but we work to reduce foreseeable risks and respond appropriately when issues are identified.

14. Your Privacy Rights

Subject to applicable law, individuals may have rights concerning their personal information, including the right to:

Ask whether 512 Lux holds personal information about them.
Request access to personal information held by 512 Lux.
Request correction of inaccurate or incomplete personal information.
Withdraw consent where consent is the basis for collection, use or disclosure, subject to legal or contractual restrictions and reasonable notice.
Ask questions about 512 Lux privacy practices.
Submit a privacy complaint.

15. Privacy Incidents

512 Lux maintains procedures to assess and respond to privacy and security incidents involving personal information.

Where required by applicable law, 512 Lux will maintain records of qualifying incidents and notify affected individuals and/or the appropriate regulatory authority when the applicable legal threshold is met.

16. Minors

512 Lux websites and services are intended for business, institutional and professional audiences and are not directed to minors.

512 Lux does not knowingly seek to collect personal information from minors through 512lux.ca or 512lux.cc. If we learn that personal information from a minor has been collected in circumstances where it should not have been collected, we will take reasonable steps to address the situation.

17. Changes to this Policy

512 Lux may update this Privacy Policy when our services, technologies, legal obligations or privacy practices change.

When this Policy is updated, the version number, effective date and last-updated date will be revised. Where required by applicable law, affected individuals will be notified of material changes through an appropriate method.
